1. About this policy
Brewer Wallace Solicitors understands that your privacy is important to you and that you care about how your information is used and shared. This policy explains how we collect and use personal data when you visit our website, www.brewerwallace.co.uk ("our website"), use its features, or contact us through it. It also explains your rights and how to exercise them.
If you become a client, we will give you further information about how we use your personal data in connection with your matter. Our Data Protection Policy sets out in more detail how the firm handles personal data generally.

3. The personal data we collect
Information you give us
Depending on how you use our website, you may give us:
- your name and contact details, such as your email address, telephone number and postal address;
- details of the legal help you need and anything else you choose to tell us in an enquiry, callback request or message;
- information you enter into our online conveyancing quote calculator, such as the type of transaction, the property price and location, and your contact details; and
- text you type into the search box on our website (see section 5).
Please only tell us what we need to respond to your enquiry. You do not need to include sensitive details, such as health information, in a website enquiry. If you do, we will use them only to deal with your enquiry.
Information collected automatically
When you visit our website, we collect some information automatically, such as the pages you visit, the website that referred you, the date and time of your visit, your browser and device type, your screen size and your IP address. See sections 6 and 7 for more detail.
4. How we use your personal data and our lawful bases
We only use your personal data where the law allows us to. The table below explains what we use it for and the lawful basis we rely on.
| Purpose | Lawful basis |
|---|---|
| Responding to your enquiry, callback request or quote request, and giving you information about our services and fees | Taking steps at your request before entering into a contract, and our legitimate interest in responding to people who contact us |
| Opening a matter and providing legal services if you instruct us | Performance of our contract with you |
| Carrying out identity and anti-money laundering checks, and meeting our regulatory obligations | Compliance with a legal obligation |
| Running, securing and improving our website, and understanding in general terms how it is used, using our own first-party analytics | Our legitimate interest in operating a secure and effective website |
| Google Analytics measurement | Your consent, which you can give or refuse through our cookie banner |
| Sending you marketing information about our services | Your consent, or where the law allows, our legitimate interest in telling existing clients about similar services. You can opt out at any time. |
| Establishing, exercising or defending legal claims, and dealing with complaints | Our legitimate interests and, where relevant, compliance with a legal obligation |
Where we rely on legitimate interests, we have considered whether those interests are outweighed by your rights and freedoms, and concluded that they are not. You have the right to object to this processing (see section 11).
We will only send you marketing where permitted by law and the rules of professional conduct that apply to solicitors. We will not send you unsolicited marketing that you have not agreed to receive, and you can unsubscribe at any time.
5. Our AI-assisted search box ("Keisha")
Our website has a search box, known as Keisha, where you can describe in your own words what you need help with. We use artificial intelligence to work out which part of our website is most relevant and take you there. It does not give legal advice.
- When you submit a search, your text is sent to our server, which removes obvious personal details, such as postcodes, telephone numbers, email addresses, dates of birth, National Insurance and NHS numbers and card numbers, before passing the rest to an AI service.
- The AI service, Keisha 5.1, runs on Amazon Web Services (AWS) in the UK and the European Union. AWS processes the text on our behalf, does not keep it and does not use it to train AI models. We keep a record of each search, with those personal details removed, for 12 months so that we can improve the service, and it is never linked to your name. There is more detail on our AI search page.
- We do not use what you type to identify you, and we do not share it with advertising or analytics providers.
- If you go on to send us an enquiry, your earlier search is not included with it.
We use the search box on the basis of our legitimate interest in helping visitors find the right information quickly. You do not have to use it: every page on our website has our telephone number and a contact form that does not use AI.
6. Our online conveyancing quote calculator
Our online conveyancing quote calculator is operated for us by LegalQuotes, a service provided by Dynamics. When you use it, the details you enter are stored so that we can give you a quote and respond to your enquiry. Dynamics processes this information on our behalf and on our instructions.
7. Cookies and similar technologies
Cookies are small text files placed on your device when you visit a website. We use a small number of our own (first-party) cookies, and Google Analytics cookies only if you agree to them.
Our own analytics
We measure how our website is used with our own first-party analytics. This records information such as the pages viewed, the referring website, your screen size, and whether you clicked a telephone number or submitted a form. It does not use third-party advertising trackers. Our analytics data is used only by us and our website provider to understand and improve our website.
Google Analytics
We use Google Analytics 4 only if you agree to it through our cookie banner. Until you agree, Google's tags are set so that analytics and advertising cookies are not used. If you agree, Google Analytics cookies will be set to help us understand how visitors use our website. Google may process this information outside the UK, including in the United States, under safeguards recognised by UK data protection law. You can change your mind at any time by clearing the cookies for our website in your browser, after which the cookie banner will be shown again.
Cookies we use
| Cookie | Purpose | How long it lasts |
|---|---|---|
| _jb_consent | Remembers whether you accepted or declined optional cookies | 12 months |
| _jb_vid | A random identifier used by our own analytics to recognise a returning browser | 12 months |
| _jb_sid | A random identifier used by our own analytics to group the pages viewed in one visit | 30 minutes |
| _jb_first_landing | Records the first page you visited on our website, so we understand which pages people arrive on | 90 days |
| _jb_gclid, _jb_gbraid, _jb_wbraid | If you arrived by clicking one of our online adverts, records the advertising click reference so that we can tell whether our advertising leads to enquiries | 90 days |
| Google Analytics cookies (names beginning _ga) | Google Analytics measurement, only if you have given consent | As set by Google, up to 2 years |
If you send us an enquiry, the identifiers and references held in our own cookies are attached to it, so that we can understand how you found us.
Our search box also stores your search text in your browser's session storage, so that the page you are taken to can reflect what you asked about. This is deleted automatically when you close the browser tab.
You can block or delete cookies through your browser settings. If you do, some parts of our website may not work as intended.
8. Who we share your personal data with
We do not sell your personal data. We share it only where necessary, with:
- service providers who process it on our behalf to run our website and our business, including Dynamics (our website and LegalQuotes provider), Amazon Web Services (for the AI search box) and Google (for Google Analytics, only if you consent), and providers of IT, email and case management services;
- if you instruct us, other parties involved in your matter as explained in our client care information; and
- regulators, courts, law enforcement agencies and other authorities, where we are required or permitted by law to do so, for example where we are involved in legal proceedings or must comply with a court order or legislation.
Our service providers may only use your personal data on our instructions and must keep it secure.
We may produce anonymised statistics about the use of our website. These do not identify any individual.
If we sell, transfer or merge any part of our business, personal data relevant to that part of the business may be transferred to the new owner, who may use it only for the purposes for which it was originally collected. We will tell you about any such transfer where the law requires us to.
9. Where we store your personal data
We aim to store your personal data in the United Kingdom. Where personal data is transferred outside the UK, for example by a service provider, we will make sure it is protected by UK adequacy regulations or by appropriate safeguards, such as the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.
We have put in place suitable physical, electronic and managerial measures to safeguard the personal data we collect through our website. However, no transmission of data over the internet can be guaranteed to be completely secure, and you should take suitable precautions when sending information to us online.
10. How long we keep your personal data
We keep personal data only for as long as we need it for the purposes described in this policy. If you send an enquiry or quote request and do not instruct us, we keep it only for as long as is reasonably necessary to deal with it and any follow-up. If you instruct us, we keep your information in line with our file retention practices and our legal and regulatory obligations, as explained in our client care information and our Data Protection Policy. Cookie lifetimes are shown in section 7.
11. Your rights
Under data protection law you have the right to:
- ask for a copy of the personal data we hold about you;
- ask us to correct personal data that is inaccurate or incomplete;
- ask us to delete your personal data in certain circumstances;
- ask us to restrict how we use your personal data in certain circumstances;
- object to our use of your personal data where we rely on legitimate interests;
- object at any time to our use of your personal data for direct marketing;
- ask for personal data you have given us to be provided in a portable format, in certain circumstances; and
- withdraw your consent at any time, where we rely on consent.
There is no fee for making a request. We will respond without undue delay and within one month, although we may extend this by up to two further months for complex requests, in which case we will tell you why. We may need to ask you for proof of identity before we respond. To make a request, please contact us using the details in section 2. Further information is in our Data Protection Policy.
12. Controlling marketing
You can opt out of marketing emails at any time by using the unsubscribe link in our emails or by contacting us. You may also wish to register with the UK preference services: the Telephone Preference Service, the Corporate Telephone Preference Service and the Mailing Preference Service. These can help to reduce unsolicited marketing, although they will not stop marketing you have agreed to receive.
13. Using our website without giving us information
You can browse most of our website without telling us who you are. To use some features, such as contact forms and the quote calculator, you will need to give us some information so that we can respond to you.
14. Links to other websites
This policy applies only to our website. It does not cover other websites that we link to. We have no control over how other websites collect, store or use your data, and we recommend that you read their privacy policies before giving them any information.
15. Complaints
If you have a concern about how we use your personal data, please contact us first using the details in section 2 and we will do our best to resolve it.
You also have the right to complain to the Information Commissioner's Office, the UK supervisory authority for data protection, at ico.org.uk or on 0303 123 1113.
16. Changes to this policy
We may update this policy from time to time, for example when the law or our website changes. The current version will always be published on this page, with the date it was last updated shown at the top.
